North Highlands was using numerous systems to handle their daily operations. ChurchHarmony helped North Highlands to consolidate all these processes into a much more manageable system that increased their efficiency, strengthened their communication and engagement offerings, AND saved them money! ChurchHarmony strengthened North Highlands by replacing the below services and streamlined their daily operations. Beyond the money savings and the efficiency savings, church members were now able to be connected and engaged like never before!

Mailchimp to ChurchHarmony ($17 / mo Savings)

North Highlands used MailChimp for their Mass Mailing of weekly bulletins, schedule changes, and certain news updates. We used the ChurchHarmony Mass Communicate and ChurchHarmony Enews features. We migrated their membership data they were using for their online website directory which was just a listing of folks contact information, their email addresses within MailChimp, combined them and imported them into ChurchHarmony Members. 

EasyTithe & Online Payments to ChurchHarmony ($100+ / mo Average Savings)

This one was a big one. We were able to lower the processing rate for their online transactions by using ChurchHarmony Online Giving & Payments. North Highlands was paying EasyTithe 2.6% + $0.30 per transaction. Also, they were paying $25 to use the module regardless if they processed any transactions or not. ChurchHarmony only charges a total of $0.30 per transaction plus Stripe payment processing fees which are as low as 0.8%! We also added the ability to pass the 'processing fees' to the donor to pay thereby saving those costs as well.

Your savings can vary based on the rate you are paying today with your current provider compared to ChurchHarmony, if you will allow your donors to pay the processing fee when they donate, and the total of all donations received.

Finally, we were able to dramatically reduce the time it took in managing the data and from multiple places. There wasn't a single area for reporting as EasyTithe had their data, in person gifts were managed manually in an Excel file. No donation receipts, regardless of the amount, were being given automatically and no donor could pull a donation receipt for tax exempt purposes without working with the accounting firm the church used. At that, most gifts under $250 wasn't even documented.

ChurchHarmony allows for batch transactions combining online and local gifts, and can be reported on by date, date range, and member. Single donations have a receipt. Multi gifts can have a receipt too by running a date range statement (monthly, quarterly, yearly, etc. to give to every member as well. Elderly folks that may not login or even use the internet, no problem. Local admin can get these reports and physically print and give to them without issue!

Signup Forms with Payments

Numerous physical paper sign up forms that no one filled out, or waited to the last minute, coupled with managing money that may be tied to it for a hotel room, food, etc. replaced! Create a form and accept payments online with ChurchHarmony Event Registrations & Signups. This is also at the same rate, so you could potentially save even more in your processing fees based on amounts received.

GroupMe, Remind, Facebook, Mass SMS & Email....Communications Streamlined & Amplified

Communication happened on numerous programs. The congregation uses Facebook, GroupMe, Remind, and Text messaging for weekly updates, announcements, praise reports, prayer requests, etc. Not everyone that needed to be on a Remind or GroupMe group was added. The Youth minister would send out updates to the 'youth group' but new incoming students wasn't part of the GroupMe and Remind, thereby already alienated unintentionally. Facebook was rarely updated and could be the source of some news as it was sometimes managed but by three different admins. Using text blasts, several folks didn't their phone number added, or changed phone numbers. Overall, data and management nightmare.

The use of several ChurchHarmony features solved these issues by having a centralized system to send out announcements, mass mailing, mass texting, all while giving the power of folks information to them! ChurchHarmony is great when being used for church sms software! Someone changed a phone number? Great - they can update it themselves using ChurchHarmony's Member Profile and Member Directory feature. The church staff no longer has to manage this. So, when that next important prayer request gets sent, everyone gets it! We replaced the online member directory with a dynamic system allowing for custom profile field data, including internal private notes, family unit viewing and management, an extensive search, and click to call, text, or map a member's contact info.

Worship Planning (Those to Serve and Printed Bulletin)...Simplified

We replaced the manual process of building out the weekly schedules and bulletin with the use of ChurchHarmony's HarmonyFloTM. Replaced physical involvement forms where members could state what they would and would not do during the year. Church staff no longer has to do the manual management of that data week to week in building schedules. Using ChurchHarmony's HarmonyFloTM, church staff can build the schedule following member preferences (someone signed up to say prayer throughout the year but not song lead, and member black out dates (they're on vacation so don't include them in the list of available folks that can serve this coming Sunday). The automated approval system shows who's accepted or declined their assignments, and when everyone's approved (manually or automatically) a schedule can be published and printed. Folks can access the schedule on the Shared Event Calendar or pick up in person if you choose to print. Replaced using Microsoft Publisher to build out a printable bulletin weekly.

Member Groups (Age Groups, Classes, Lads2Leaders)...Engagement & Interaction Intensified

Lads2Leaders was another huge process that was simplified with the use of ChurchHarmony's Member Groups. Members, Group Leaders, and Coordinators can communicate and manage participants and their data like never before. Open to everyone, not just Bible Bowl participants, the Bible Bowler's can take, store, and send online quiz results using ChurchHarmony's Bible Bowl feature. Use of ChurchHarmony's Award Hub allows participant data and files to be stored and built upon yearly. Great for college applications, resumes, and the L2L Red Coat Award. Need to pull that speech you typed up from 7th grade? No longer have to find your files or call the church, we got you. You can access the stored file(s) within each completed event / award (regardless if the student won or not) or within ChurchHarmony's Files Manager. Group leaders can use ChurchHarmony's Shared Calendar to see scheduled meeting times from all groups to ensure the chaos of scheduling is handled without issue.

Sure, the money savings is great, as we are to be good stewards of the money we are blessed with, but the savings of time, increased efficiency, and the "togetherness" ChurchHarmony has brought, will be useful for many years to come.
